01Who we are

Threshold Studios ("we", "us", "our") is a photography and video production company based in Vancouver, British Columbia. We provide event, conference, corporate, headshot, real estate and video production services across the Lower Mainland and beyond.

This Privacy Policy explains how we collect, use, share and protect personal information when you visit thresholdstudios.ca, contact us, or work with us. We handle personal information in line with British Columbia's Personal Information Protection Act (PIPA) and, where it applies, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

02Information we collect

Information you give us

  • Inquiry and quote forms. Your name, email, phone number, company, the type of shoot, event date and location, budget range, how you heard about us, and any details you choose to share.
  • Email, phone, text and social messages. Whatever you include when you reach out to us directly, including through Instagram or other platforms.
  • Booking and project details. Billing contacts, invoicing information, venue and on-site contacts, shot lists, schedules, and team or attendee lists for headshot days and events.

Photos and video of people

Our work involves photographing and filming people. An identifiable image of a person can be personal information. At events, we capture attendees, speakers, performers and staff on behalf of the organizer who hired us. At headshot sessions, we photograph the people our client has scheduled. See section 07 for how we handle these images.

Information collected automatically

When you browse our website, our analytics and advertising tools collect technical information such as the pages you view, how long you stay, the site that referred you, your browser and device type, and your approximate location based on your IP address. See section 06 for details.

03How we use your information

  • To respond to your inquiry and prepare a quote.
  • To plan, schedule and deliver your photo or video project, including sharing your gallery or files.
  • To send invoices, keep business and tax records, and meet our legal obligations.
  • To understand how visitors use our website so we can improve it.
  • To measure how well our advertising performs.
  • To showcase our work in our portfolio, website and social media, as described in section 07.

We do not sell, rent or trade your personal information. We don't run an email newsletter or send marketing emails. We'll only contact you about your inquiry or an active project.

05Who we share it with

We only share personal information when it's needed to run our business or deliver your project:

  • Our clients. Photos and video we capture at an event or headshot session are delivered to the organization that hired us.
  • Our team. Second shooters, videographers and editors who work on your project, all of whom are expected to keep client information confidential.
  • Service providers that help us operate, including our website host, form processing (Web3Forms and WPForms), email, cloud storage and gallery delivery, accounting and payment processing, Google (analytics) and Meta (ad measurement).
  • Legal requirements. When the law requires it, or when it's necessary to protect our rights, property or safety, or that of others.

Some of our service providers store or process information outside Canada, including in the United States. When that happens, your information is subject to the laws of that country and may be accessible to its authorities.

07Photos and video of you

When we photograph or film an event or headshot session, our client (usually the event organizer or employer) decides how the images are used and is responsible for informing attendees and staff that photography will take place. If you have questions about how a particular organization is using images of you, please contact that organization.

With our client's permission, we may also feature select images in our portfolio, on this website and on our social media. If you appear in one of our images and would like it removed from our website or social channels, email us and we'll take it down promptly.

We take extra care with minors. We don't publish identifiable images of children in our own portfolio or marketing without a parent or guardian's consent.

08How long we keep it

  • Inquiries that don't turn into a booking are kept only as long as reasonably needed to follow up, then deleted.
  • Client and financial records such as contracts and invoices are kept for as long as Canadian tax law requires, generally six years.
  • Photo and video files are archived for a period after delivery so we can help with re-downloads or additional edits. You can ask us to delete your project files sooner.

09How we protect it

We use reasonable safeguards to protect personal information from loss, theft and unauthorized access, including an encrypted (SSL) website, password-protected accounts, limited access on a need-to-know basis, and reputable service providers.
